Meeting Preparation

A tool for organizing different events - such as councils, board of directors, and other corporate governance meetings - accessible by the administrative staff who organize daily meetings. With Concilium, every event is customizable: set the login mode; the partecipants can log in using a magnetic card or automatically, without login. Set the legal number of attendees (quorum of incorporation), and manage the groups of participants by type.

Attendees list

The participants can attend the meetings in person using the Concilium mobile app and a microphone discussion device or remotely with the Concilium app. You can also combine in-person and virtual event experiences. Your attendees will be able to authenticate their presence, request the floor, and vote - wherever they are. Each user can be assigned to a specific participation mode or switch at every meeting.

Your meeting, your agenda

Write your agenda, or import one. Concilium supports CSV and TXT files, and it’s integrated with the most used document management software to allow the participants to access the documents directly from the repository of the document management software in use without importing them into Concilium. The agenda can be edited live to add new items such as notes on any amendments or miscellaneous topics discussed during the meeting and not initially present in the agenda to produce a complete minutes of the event. Agendas can also be saved as templates for your future conferences.

Document Management

Guarantee prior information to the delegates about the items on the agenda.
  • - Easily insert the documentation through approval workflows or directly and in the main formats (PDF, Word, PowerPoint, and Excel).
  • - Minimize the time needed to send files and guarantee the advisers more time for their consultation and preparation.
  • - Manage the confidentiality of the topics by specifying the reading criteria for inclusion and exclusion: use the templates to automate the display rules differentiated by category.
  • - Check the reading status of the documentation by tracing the opening of the files, the date on which the action was carried out, and the IP address used.

Can't make it? Delegate

If you are not able to attend a meeting but expressing your vote is vital to the event's closure, Concilium allows you to delegate another attendee and will take into consideration the weight your position represents in the voting session.

Share documents, or create one live through the Concilium app. Officially amend them by adding, correcting, or deleting information in real-time. Concilium will automatically add the event to the agenda, generate a PDF, and send it to the signatories. If signed, the document goes on to vote.

Automatic meeting minutes

Concilium automatically generates the meeting minutes and allows you to create templates based on the information you want to see on the recors, selectable from preset categories.

Concilium generates instant reports about the meeting, including the current participants and the events that occured - such as logging in, logging out, and voting - even on an hourly basis.

Definition of the voting labels

View the voting results - supported by statistics - in real-time, in printable format, or even as meeting minutes with notes on non-planned events that occured during the meeting.

Concilium provides you with all the tools to research the meetings' archives. Activate the transcription and choose amond 100+ languages. Concilium can generate the full transcript of each session - supported by the video and audio of the event - which participants can download and review.

Interpreting

Concilium offers an interpreting service that allows meeting participants to listen to the speeches in their language. Just add the necessary interpreters to the participant list.

Advanced users and roles management

The meeting participants can be added manually or automatically through a CSV or an SSO protocol - such as AD, LDAP, Shibboleth - to import information such as personal data, right to vote, priority, or VIP user, group and role membership, access method. Moreover, with concilium you can manage the access permissions to all system funcions by user or groups.

Meeting room layout

With Concilium, you can customize the layout of the room where the meeting will be hosted for an optimal arrangement of the monitors and the association of the stations to the participants, or you can use one already existing.

Devices management

All the devices used by the participants in the meeting - such as microphone bases, phones, or tablets - are uniquely associated with the user' login to guatantee the safety of participation for the user, avoiding alterations in the attendance or votes with a false login.

Quorum

Concilium guarantees the validity of the meetings thanks to the use of quorums at the constitution of the conference (structural quorum), during each vote (deliberative quorum), and so on. The quorum is calculated automatically, taking into account the rules set within the qourum configuration. The configurable parameters are multiple: PRIMARY VALUE, TUPE OF MAJORITY, ROUNDING, TOLERANCES, FORCING AND ABSTENTION VALUE

Remote participants

Choose how you want to invite remote participants. You can use Concilium video conferencing system or an alternative commercial.

Transcription, translation, and streaming modules to share the meeting live on YouTube, a private sire, or Concilium TV. Concilium is integrated with Digital Democracy where the users can view the videos and transcripts of the indexed events.
